Operations Coordinator (HR & Onboarding Focus)
Leadership-track administrative role overseeing recruiting coordination, EHR training, our 30-60-90-day onboarding program, and clinical documentation compliance across our Minnesota and Georgia teams. Part-time, hourly, hybrid eligible.
The Operations Coordinator is a leadership-track administrative role responsible for the full lifecycle of talent operations at Radiant Recovery and Counseling Services (RRCS): coordinating recruiting and interviewing, delivering EHR training and implementation for new hires, executing the organization's 30-60-90-Day Onboarding Policy, and monitoring workforce adherence to key performance indicators, including the timely submission of clinical documentation in accordance with each clinician's Independent Contractor Agreement (ICA).
The coordinator serves as the operational bridge between leadership, HR, clinical supervision, and frontline staff, ensuring that every new hire is recruited, trained, supported, and held to RRCS's clinical and compliance standards.
Essential Duties & Responsibilities
Recruiting Coordination
- Coordinate end-to-end recruiting logistics for clinical and administrative openings: posting positions, screening applications, scheduling interviews, and maintaining candidate communication.
- Maintain the candidate pipeline and applicant tracking records; provide weekly pipeline status reports to leadership.
- Partner with HR to verify licensure, credentials, background study requirements, and pre-hire documentation before offers are extended.
- Coordinate with clinical supervisors in Minnesota and Georgia to align hiring priorities with caseload demand and state-specific requirements.
Interviewing
- Participate as a panel member in candidate interviews for clinical and administrative roles.
- Apply structured interview guides and scoring rubrics consistently across candidates.
- Provide written hiring recommendations to leadership; final hiring decisions rest with the CEO and designated leadership.
EHR Training & Implementation
- Deliver initial EHR onboarding and training for all new hires, including documentation workflows, scheduling, and telehealth functionality.
- Maintain and update EHR training materials, quick-reference guides, and competency checklists.
- Verify EHR competency before independent use; document completion of training for each new hire.
- Serve as first-line support for EHR workflow questions during a new hire's first 90 days.
30-60-90-Day Onboarding Policy Execution
- Implement and track the RRCS 30-60-90-Day Onboarding Policy for every new hire.
- Schedule and conduct structured check-ins at the 30-, 60-, and 90-day milestones; document outcomes and support needs.
- Coordinate milestone reviews with the appropriate clinical supervisor (MN or GA).
- Report onboarding completion rates and 90-day retention outcomes to leadership quarterly.
KPI Monitoring & Documentation Compliance
- Monitor team adherence to established KPIs, with primary emphasis on timely submission of clinical notes per each clinician's ICA.
- Produce recurring documentation-timeliness reports identifying late, missing, or unsigned notes.
- Issue standardized reminders for overdue documentation; escalate unresolved lapses to leadership.
General Operational Support
- Maintain accurate, confidential personnel and onboarding records in accordance with HIPAA, 42 CFR Part 2 (where applicable), and state record-keeping requirements.
- Contribute to continuous improvement of recruiting, onboarding, and training workflows.
What Success Looks Like (Key Performance Indicators)
- Time-to-Fill: average days from requisition approval to accepted offer.
- Onboarding Completion: 100% of new hires completing all 30-60-90-day milestones on schedule.
- EHR Readiness: 100% of new hires verified EHR-competent before independent documentation.
- Documentation Timeliness: organization-wide improvement quarter over quarter.
- 90-Day Retention: percentage of new hires in good standing at day 90.
Qualifications
Required
- Significant experience in behavioral health, outpatient mental health, or a comparable healthcare setting, with direct familiarity with clinical documentation standards and workflows.
- Demonstrated reliability, professionalism, and sound judgment handling confidential personnel and clinical information.
- Working proficiency with electronic health record systems and the ability to train others effectively.
- Strong organizational, written, and verbal communication skills; ability to manage multiple concurrent hiring and onboarding timelines.
- Ability to give direct, constructive feedback to peers and escalate concerns objectively.
Preferred
- Active clinical licensure or clinical background in behavioral health.
- Prior experience in recruiting, onboarding, training, supervision, or HR coordination.
- Familiarity with Minnesota DHS and Georgia behavioral health regulatory and credentialing requirements.
- Experience with Microsoft 365 tools for tracking, reporting, and workflow automation.
Working Conditions & Role Structure
Coordinator hours are performed on an hourly, non-exempt basis and recorded separately from any clinical service hours. Weekly hour allocation is established in the offer and reviewed quarterly against workload. The role may require occasional schedule flexibility around interview panels, new-hire start dates, and milestone check-ins, with periodic coordination across Minnesota and Georgia teams. Work is performed in office and remote settings.
